JOB TITLE:  ADMINISTRATIVE ASSISTANT - Click for Availability of Position(s)
 
DEPARTMENT:  Administrative Office
IMMEDIATE SUPERVISOR: 
Chief Financial Officer
WAGE: 
Non-Exempt
 

JOB OBJECTIVE:
To provide support in purchasing, invoicing, and administration areas of the Utility.
 

ESSENTIAL TASKS:

  • Prepare bid documents to order materials, services, capital equipment, and capital construction

  • Assist the General Manager and Chief Financial Officer as needed

  • Invoice and track surcharges for industries

  • Prepare correspondence, bid documents, and contracts

  • Keep appropriate documentation including monthly and yearly reports

  • Assist with the preparation of the annual budget

  • Coordinate the liabilities/insurance claims

  • Count money and prepare bank deposits as directed

  • Obtain and file permits, easements, deeds, records, industrial monitorings, and trucker’s discharges

  • Track and record purchase orders as directed

  • Develop and maintain computer system for tracking permits, deeds, easements, and other records

  • Plan retirement dinners and holiday dinners

  • Answer telephone and dispatch service calls when needed

  • Ensure that all work is carried out in a safe and efficient manner

  • Be available for emergencies 24 hours a day, 7 days a week

  • Perform other duties as assigned/needed

  • Maintain a positive attitude with team/unit

  • Maintain good public relations

GENERAL REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Must be knowledgeable in word processing, spread sheets, and able to set up data bases.  Must have excellent customer service skills and the ability to quickly establish a rapport with people.  Must be able to establish and maintain effective working relationships with team/unit.
 
EDUCATION AND/OR EXPERIENCE:
High School Diploma or GED and 8 years of job related experience.  An associate’s degree from an accredited college or university will substitute for 4 years of experience and a bachelor’s degree will substitute for 8 years of experience. 
 
PHYSICAL CAPABILITIES:
Pass alcohol and drug screening test.  Based on pre-employment physical examination and demonstration through job performance is physically able to perform  the essential functions of the position.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential tasks.
 
SUPERVISORY RESPONSIBILITIES:
As assigned by supervisor
 
LICENSING OR CERTIFICATION REQUIREMENTS:
Valid driver's license
